1. Who we are
PayNudge ("PayNudge", "we", "us") operates the PayNudge service. We act as the data controller for personal data processed through the PayNudge service.
2. Personal data we collect
- Account data — name, email address, login credentials.
- Business data you provide — your business name, QuickBooks connection tokens, customer names, phone numbers, and invoice details you import or enter.
- Usage data — pages visited, actions taken, device identifiers, IP address, and similar telemetry.
- Support communications — messages you send us.
3. How we use it and our legal basis
- To create your account and provide the service (contract performance).
- To send invoice reminders to your customers on your behalf (contract performance).
- To secure the service and prevent fraud or abuse (legitimate interests).
- To improve the product and customer support (legitimate interests).
- To meet legal and tax obligations (legal obligation).
4. Who we share data with
- Paddle — our Merchant of Record. Paddle processes all payments, subscription management, invoicing, and sales tax compliance for our orders.
- Service providers / subprocessors — hosting, database, analytics, email, and SMS delivery providers acting on our instructions.
- QuickBooks — when you connect QuickBooks, data is exchanged with Intuit to read your invoice and customer records.
- Professional advisers — legal and accounting advisers where necessary.
- Authorities — where required by law.
5. International transfers
Where personal data is transferred outside your country (including the UK/EEA), we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
6. Data retention
We keep personal data only for as long as needed to provide the service and meet legal obligations. When you close your account we delete or anonymise your data, except where retention is required by law (for example, tax records held by Paddle).
7. Your rights
Subject to applicable law you have the right to access, correct, delete, restrict, or port your personal data, object to certain processing, withdraw consent, and lodge a complaint with your local supervisory authority. To exercise these rights, contact us at the email address in your account dashboard.
8. Security
We use appropriate technical and organisational measures including encryption in transit, access controls, and regular review of our systems.
9. Cookies
We use strictly necessary cookies to keep you signed in and to operate the service. We may also use limited analytics cookies to understand usage. You can manage cookies through your browser settings.
